How I Organize My Tags and Lists In Kartra

I get a lot of questions on tags and lists and trust me I get it - It’s tricky to understand the difference between two segmenting tools.

Let’s break down lists and tags and I’ll show you my EXACT tagging structure.

Lists - First - Lists are ways to group people by MARKETING MESSAGE. People can see what lists they are subscribed to and can unsubscribe from them. I recommend using a small number of lists that clearly identify who they are and what kind of messages they are getting.

Examples:
- YOUR BUSINESS NAME - Important information and updates (for anyone who is subscribed to your newsletter)
- NAME OF YOUR COURSE - ACCESS & UPDATES (For buyers/subscribers of your course/membership)
- BUSINESS NAME VIP’s - (anyone who has purchased something from you)

I also like to use lists to run promotions so people can remove themselves from the list if they don’t want to hear about that offer.
- NAME OF PROMO - From BUSINESS NAME

If you are going to use promo lists - be sure to remove the lists when the promo is over.

*PRO TIP: you do not need a list for every segment. You do not need a list for “opted into lead magnet”.

REMEMBER: with lists
The “Name of List” is internal - call it whatever you want
The “Public Description” is public and this is what people see - name it mindfully.

Now let’s go into Tags.
Tags are a different way to segment leads - that people cannot see and cannot remove from themselves.

Tags get sorted into categories (think folders) and can be in more than one category.

Tags can be set to expire in hours/days and can start automations within Kartra.

I also like tags because they can be used to start Zapier automations.

Tags ALSO export so if you need any data to export in a future life, tags are the way.

Here’s the tagging structure I use.

My Tag Categories are:

00 - ADMIN (any tags that are admin tags go here)
01 - TEST (tags I use for testing)
02 - TRIGGER (Tags that I use to start other actions)
03 - FREEBIES (all of my freebies get put together in one category)
90 - ARCHIVE (for all the tags I no longer use but have anxiety about deleting - it’s a tag graveyard)

THEN I use product categories

AAA - All About Affiliates
BIB - Build it Beautiful Workshop
ETC - Emails that Click

*these all have short prefixes - and then the name of the program. I use the prefix on the actual tag associated with the product/offer.

You get the idea. THEN tags that are related to offers go in their category and tags that are ADMIN/TEST/TRIGGER/FREEBIES go in those categories.

Let’s take a look at some of the tags I use with in one of those categories:

AAA - No promo (this gets applied in promotion of people who do not want to hear about this offer)
AAA - Affiliate

AAA - Purchased Course
AAA - Purchased Course + Template
AAA - Access
AAA - Abandoned
AAA - Refunded
AAA - Survey completed

All of the above tags tell me EXACTLY what someone has done in the course.

There’s not hard and fast rule for how you tag. But if it makes sense to you, give it a tag, You can find most of this information in kartra but I still like having a tag as a security feature.
